Fidelio Sales and Catering is specifically designed for the efficient planning and management of group room bookings, functions and conferences. It not only helps you to sell your resources, it also makes sure that you sell them profitably.

Overview

Fidelio Sales and Catering consists of a series of modular programs that can be combined to provide the right level of S&C functionality in any organizational setting. Sales and Catering may be integrated with Fidelio Front Office and Fidelio Food and Beverage (additional members of the Fidelio Hotel Management Suite) to even further extend its functionality.

 

Hardware Configuration

  • Network: Novell Netware 3.12 or 4.1 recommended.
  • Client Workstation:
    • Minimum configuration is 486 SX with 33MHz and 8MB RAM (16MB if using Windows).
    • Recommended configuration is 75MHz Pentium, 16MB RAM.
    • One workstation must include a floppy drive.
    • VGA color monitor.
  • File Server: 50 - 100 MB hard disk storage required per year, based on normal usage by 5 S&C users.
  • Printer: HP LaserJet III or better. The HP LaserJet 5 is recommended.
  • Report Server: Any workstation can serve as report server (designated or as needed).

Software Configuration

  • Single user: MS DOS 6.2 recommended. MS DOS 5.0 minimum.
  • Expanded Memory Manager HIMEM.SYS/EMM386, or QEMM version 8.
  • Relational Reportwriter.
  • Fax Software (optional, for use with fax interface) Net SatisFAXtion.

Software Features: Following is a brief list of some of the main features offered by the Fidelio Sales and Catering program modules.

SALES AND CATERING LITE - The Base Module: The Sales and Catering Lite module provides core S&C functionality. Sales and Catering Lite features are included in Sales and Catering Hotel, Sales and Catering GEM, Sales and Catering GEM Express, and Sales and Catering RSO.

  • Account and Contact Management
    • Automation of company and contact person files.
    • Private second address fields for mailings to contacts.
    • Marketing code fields.
    • Track parent companies with subsidiaries.
    • Volume production tracking (by room nights and rate). Statistics can be imported directly from Front Office.
    • Quick address change (protects private addresses).
    • Free-format Notes fields on all data records.
    • Automatic trace feature to ensure follow-up communication with important clients.
    • Personal and office-wide views available.
  • Time Management
    • Automatic trace system for recording activities and maintaining call reports.
    • Customizable templates to speed creation of activities and traces.
    • Past activities and traces can be retrieved, along with call history notes.
    • Future activities and traces can be scheduled.
    • Traces and activities can be copied and duplicated for sales blitz and follow up.
    • Project management "to-do" lists.
    • Personal and office-wide views available.
  • Mail/Merge (Single-Letter or Query-Based Mass Mailing)
    • Generate "one-off" letters by using hot-key to merge data into form letter.
    • Produce mailings based on unlimited search criteria (including Front Office database).
    • Include or exclude records containing specific text.
    • Automatically generate activity/trace for each company or contact selected.
    • Export mailing to external word processor (Word and WordPerfect).
  • Customization Features
    • User-definable coded fields on account, contact, and activity levels.
    • User definable screens (Screen Painter).

SALES AND CATERING HOTEL: The Group Rooms Control module enables efficient management of group reservations for tours, conventions, social affairs, and business meetings. This module contains all the Sales and Catering Lite features plus integration with the Fidelio Front Office Groups and Blocks Module.

  • Group Room Inventory Control
    • Real-time, accurate availability information. The Sales and Catering and Front Office databases are shared for fast access to up-to-the-minute information. Both Front Office and Sales and Catering availability are updated with each booking or change to a booking.
    • Convenience features include Group Room Availability hot key and Best Possible Dates Search hot key.
    • Room block statistics for each group including number of rooms blocked, confirmed reservations, number of rooms picked-up, etc.
  • Automatic Life-Cycle Tracking of Bookings
    • Track all inquiries from initial call to final disposition.
    • Share leads with other hotels in the chain via fax or e-mail.
    • Track leads including date received and date replied.
    • Query logged inquiries by arrival date, booking name, booking ID number, etc. Instant access to all historical and future booking information.
    • Set up templates that automatically create activities/traces based on user-defined conditions.
    • Flexible currency features allow use of preferred currency for sales and catering portions of booking and for contract preparation. Exchange rates can be updated as required.
    • Deposit, cancellation information handling (percentages due, due dates). Information can be integrated into contracts, letters, etc.
    • Optional interface allows pickup information to be received from Front Office.
  • Forecasting and Analysis
    • Sophisticated forecasting features include analysis of rooms blocked vs rooms picked up; revenue and profitability analyses; salesperson productivity levels vis a vis goals; weekly/monthly/yearly forecasts of room nights and revenue.
  • Forms, Letters and Contracts
    • User-definable forms may be merged via hot key with Sales and Catering data.
    • Standard contracts can be produced automatically.

SALES AND CATERING GEM: The Group Event Management (GEM) module enables efficient management of group events involving catering, function spaces, and other resources. This module contains all the Sales and Catering Lite features plus the features of Sales and Catering Hotel.

  • Booking details are maintained on two event levels: Group Rooms and Catering.
  • Status of each catering event is available; statuses include lost and cancelled.
  • Hotel documentation (e.g., standard menus) can be accessed and automatically faxed to client or printed. Customization of standard menus is easy.
  • Event Management Features
    • Forecast and revenue tracking; posting of actuals.
    • Event types (meeting, dinner, etc.) can be set up with default start and end times and forecasted revenue by resource type.
    • Easy booking of catering packages, including events, items and revenue splits. Only function rooms remain to be defined.
    • Daily event schedules.
  • Resource Management Features
    • Restaurants and public spaces can be designated as shareable.
    • Function spaces may be marked as "closed" or out of order for a designated period.
    • Potentially shareable spaces may be designated as shareable or not on an event-by-event basis.
    • Resource inventory and scheduling (e.g., A/V equipment, furniture). Tracking of outside rental items.
    • Easy booking of standard menus. Quick customization using standard or special dishes.
    • Multiple languages for contracts and proposals. Contracts and proposals can be laser printed on hotel stationery (no special forms needed).
  • Function Book/Diary
    • Graphical interactive function book accessible by hot key. All bookings and events are quickly accessible.
    • Filters can be used to selectively display information of interest. Information on over 40 function spaces can be viewed at once.
    • Fast access to function space availability. Scroll into future or past using cursor keys.

SALES AND CATERING GEM EXPRESS: The Group Event Management (GEM) Express module enables efficient management of group events involving catering, function spaces, and other resources. This module contains all the Sales and Catering Lite features plus the features of Group Event Management. The GEM Express module does not have the Group Rooms Control features of Sales and Catering Hotel, nor does it provide for group room block integration with Fidelio Front Office.

SALES AND CATERING RSO: The Regional Sales Office (RSO) module is a powerful and adaptable version of Fidelio Sales and Catering designed for use in regional sales offices that represent multiple properties in a chain or group. Sales and Catering RSO contains all features in Sales and Catering Lite and Sales and Catering Hotel.

  • Additional Features Include:
    • Maintains an online database of all hotels in the group (accessible by hot key from anywhere in the program) containing sales information such as rates, special periods, size, etc.
    • Fax or e-mail gateway for quick response to inquiries.
    • If a lead is forwarded as a data file via cc:Mail to receiving hotel, basic information is automatically sent and booking is automatically made.

SALES AND CATERING MULTI-HOTEL: The Multi-Hotel module is typically used where one Sales and Catering office books group and catering business into several hotels in one city or local area. Sales and Catering Multi-Hotel can interface with several Fidelio Front Office systems on the same LAN or WAN.

  • When Used with Sales and Catering Hotel and Group Event Management:
    • Information for selected hotel or all hotels can be displayed using hot keys.
    • With Fidelio Front Office interface, Room Availability hot keys allow pickbox selection of hotel before displaying data.
    • When entering a booking, the users selects the hotel at which the room block is being set up.
    • Associated groups booked into different hotels can be linked and related bookings can be displayed.

SALES AND CATERING LAPTOP: The Laptop module makes the Sales and Catering system portable. Representatives at the hotel or RSO can check out (that is, download) selected records and work with this information while away from the office. Upon return to the office (or by using the Remote Laptop add-on), they can add the new and changed information to the home system. Sales representatives can check out their own records, or records belonging to others if in the same trustee group. Colleagues' records are checked out on a "view only" basis.

Fidelio Front Office Interfaces and Integration: Sales and Catering can be integrated with Fidelio Front Office on two levels.

  • Sales and Catering / Front Office Interface (available for all Sales and Catering modules with Front Office 2.5 and up). Interface provides:
    • Account / Company Profile Interface

    • Ability to check Front Office availability in real time with two different views.
    • Check future reservations in Front Office.
    • Sales and catering accounts automatically synchronized with Front Office company guest history file. New company information is passed effortlessly between departments.
    • Hot Keys Using Front Office Interface
    • Front Office Control Panel available to Sales and Catering for easy hot key access to availability information including overbooking, turnaways, and group blocks.
    • Numeric availability display including room type detail and reservation types.
  • Sales and Catering / Front Office Booking Integration (available for Sales and Catering Hotel and Sales and Catering GEM with Front Office 6.00 and up). Booking Integration provides:
    • Integration with Front Office Block module; Sales and Catering and Front Office databases are shared.
    • Group Room Allotment/Ceiling deducts from Front Office availability and from Sales and Catering ceiling.
    • Both Front Office and Sales and Catering availability are updated with every new booking or change to existing booking. Users of both systems see up-to-the-minute realtime availability.

Fidelio Food and Beverage Interfaces and Integration: Sales and Catering can be integrated with Fidelio Food and Beverage.

  • Allows input of Food and Beverage items into Sales and Catering menu item list. User definable setup of fields that are imported from Food and Beverage.
  • Hot key access to current "stock on hand" from within Sales and Catering for linked menu items and for any Food and Beverage item.
  • Periodic update of food cost figures for each menu item provided by Food and Beverage.

Fax Interface: Using appropriate fax software, Sales and Catering can be licensed to include integrated fax capabilities.

  • Hot key activates fax interface.
  • User can view all sent faxes and faxes awaiting transmission.
  • Quick Fax allows short faxes to be sent directly from within Sales and Catering. Faxes can be sent immediately or queued for transmission at a later date/time.

Reports and Reports Server: Sales and catering reports are based on an advanced report writer that allows custom reporting and laser printer output.

  • Batch reports can be pre-defined. Filters can be activated to customize the report views. Optional banner page can identify user requesting reports.
  • Up to 10 report servers can be defined. Report server can be any workstation. Reports can be generated in the background allowing users to continue with their work.

Customizability and Ease of Use Features: The design of the Sales and Catering program includes a variety of features that make it flexible, user friendly, and easy to learn.

  • Integrated, configurable context-sensitive help.
  • Pull-down menus.
  • Function keys provide access to often-needed features.
  • Screen painter for user-definable screens.
  • Extensive installation parameters for customized program appearance and behavior.
  • Multi-lingual screens and menus.
  • Unlimited user-definable levels of security.
  • User-definable menus of options.
  • User-definable reports (external report generator).
